Gather the records.Keep the distinctions. This is an organizational starting point for commercial owners, property managers, multifamily communities and associations. It is not a claim-filing requirement, a coverage checklist or legal advice.
Different property and ownership structures raise different questions. Mark uncertain items for discussion rather than treating every HOA, apartment building or condominium association the same.
Property and location schedule Identify the actual buildings, shared facilities and affected spaces using consistent internal references. Role and coordination Identify the appropriate owner or authorized point of contact; do not assume authority from a job title alone. Policies and schedules Gather the relevant policies, declarations, schedules and endorsements for secure review. Property documents Identify relevant leases or governing documents without deciding ownership or responsibility from a generic label. Event and access timeline Distinguish the event, discovery, safe access, temporary work and insurer-contact dates; mark uncertain times. Building and unit record Organize observations by building, suite or unit. Keep personal resident information out of shared working summaries. Professional assessments Keep source findings, inspections and proposed repair scopes labeled by author, purpose and date. Mitigation and repair expenses Retain reports, invoices and receipts without assuming every amount is covered. Contents and equipment Keep affected-item descriptions and supporting records distinct from building repair estimates. Operational records If relevant, preserve financial, rent, payroll and expense records through an appropriate secure process. Any coverage is policy dependent. Open questions and correspondence Keep insurer requests, estimate versions, and unresolved questions together; mark responsibility or coverage issues “to confirm.”
Sensitive records need a verified process. Keep policies, resident details, financial statements, plans and claim records in your own secure files. Call Halo at (602) 209-1370 to discuss the next step and arrange an appropriate secure document process before sharing records.
